ANU Electronic Mail

The Division of Information provides the main electronic mail service for the ANU.

The email service consists of :

Email gateways
The ANU email gateways accept mail for ANU addresses, and filter for spam and virus content. For more information on the filtering done see Email Filtering.

Mail servers
The Division operates the mail server anumail.anu.edu.au. All staff, students and registered university affiliates are entitled to an account on this service. Details on accessing this service are available here. A web-based email service is also in development.
Some areas of the university run their own mail servers. The Division of Information is generally unable to assist with enquiries regarding these services, and the Local IT Support Staff for the area should be the first point of contact.

Mailing lists
The Division operates a mailing list server for the use of the University community.

Email addresses
University email addresses are created automatically for students at enrolment time, and for staff during induction. University email accounts are of the form u1234567@anu.edu.au, and are the official email contact address for staff and students.

Affiliate accounts can be provided for members of the ANU community who are not current students or staff members. They need to be created by Local IT Support Staff. Affiliate email addresses are of the form a123456@anu.edu.au. Details on the creation and use of affiliate accounts are provided in the OLAMS manual.(Please note: These guidelines are currently under review. 02/2007)

A personal mail alias based on firstname.lastname@anu.edu.au is extracted from the information downloaded from the Pay/Personnel database or information supplied by local areas. The default convention is firstname.lastname@anu.edu.au. There may be some exceptions to this as follows:

• the first name is not the preferred or commonly used name.
• the name is an extended one and is normally truncated
• the name contains spaces or punctuation that are not generally supported by email systems (eg Renée, Chloë, Dvoršák, van der Kamp, O'Brien)
• the formal order of names (as held in the payroll/personnel system) does not correspond to preferred usage.

LITSS are responsible for the selection of the initial, unique address.

Personal email aliases are available to staff and affiliates. Postgraduate students may obtain a personal alias at the discretion of the local IT Support for their area. Undergraduate students are not entitled to personal aliases.

Functional aliases are provided for roles associated with official responsibilities rather than individuals, and provide a mechanism for continuation of access should staffing change, or for access by multiple people. Functional accounts are created and maintained by LITSS. (Please note: These guidelines are currently under review. 02/2007)

Registered alumni are also entitled to an account on anumail. You can direct alumni to :http://info.anu.edu.au/mac/Alumni/Services/index.asp

Some areas of the ANU maintain their own local mail systems, and may provide an alternate address (for example John.Q.Citizen@rsx.anu.edu.au). These areas are not supported by the DOI, and you will need to contact the LITSS of the area for support or information.

Maildrops

The maildrop controls the ultimate destination of your email. It is possible to set this to send your mail to anumail, casmail, a local mail server (eg coombs.anu.edu.au), or an outside service (eg hotmail or yahoo).
The maildrop can be changed by the user through OLAMS, or by their LITSS using the OLAMS/litss web interface.

Vacation mail
It is possible to set a vacation reply, for times when your email is unattended. This can be done by the user through OLAMS or by their LITSS using the OLAMS/litss web interface

.

Use of email
Use of ANU email services is subject to the following policies and guidelines.
